The Administrative Assistant is responsible for the day-to-day coordination of office activities at the site. This position provides essential clerical, organizational, and operational support to staff and management, ensuring office efficiency. This salaried non-exempt position reports directly to the Commercial Operations Sr. Manager.

Responsibilities

  • Manage phone calls, greet and assist visitors, customers and vendors.
  • Manage UPS, FedEx and DHL parcels including arranging for pick up and handling receipt of packages. This includes sample order documentation and customer order documentation
  • Contact service vendors when needed
  • Order and manage the inventory of office supplies and janitorial supplies for the site.
  • Retrieve, sort and distribute incoming mail
  • Gather, review, pull badge reports if needed and send temporary associate timecards to Temp agency
  • Manage additions and subtractions of associates and alerts in OnSolve.
  • Create and maintain associate and vendor badges and access
  • Create new vendors in Business Central as needed
  • Wire transfers for accounting department as needed
  • Enter invoices and credits for certain customers into their portal
  • Requests LTL and air freight quotes and scheduled pick-ups for samples and maintenance items
  • Other tasks as deemed necessary
