About The Position

We are seeking a highly organized and efficient Administrative Assistant to join our dynamic team. In this vital role, you will be the backbone of our daily operations, providing exceptional administrative support to our staff and ensuring smooth office management. Your exceptional attention to detail and proactive approach will be instrumental in maintaining an orderly and supportive work environment for all. Job Responsibilities Work may include routine to complex administrative support functions.

Requirements

  • Proven experience as an administrative assistant or office admin assistant
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Familiarity with office management systems and procedures
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Ability to work independently and as part of a team
  • Professional attitude and appearance
  • Knowledge of office equipment (e.g., printers, fax machines)
  • Basic understanding of bookkeeping and financial reporting
  • Ability to maintain confidentiality with sensitive information
  • Flexibility and adaptability to juggle a range of different tasks
  • Dependability with a respect to deadlines and schedules

Nice To Haves

  • Experience with QuickBooks preferred

Responsibilities

  • Handle incoming calls and correspondence, redirecting them as necessary.
  • Establish and maintain filing systems
  • Assist with data entry of sales information
  • Prepare deposits
  • Handle confidential documents and information with discretion.
  • Assist with related general office duties, such as ordering supplies and maintaining office equipment.
  • Provide administrative support to other staff members as needed.
  • Greet visitors and direct them to the appropriate staff member.
  • Coordinate project-based work as required.
  • Maintain a professional and friendly point of contact for clients and vendors.
  • Utilize office appliances such as photocopier, printers, etc., and computers for word processing, spreadsheet creation, etc.
  • Engage with team members on administrative matters, fostering a collaborative office environment.
