About The Position

We’re hiring an Administrative Assistant at Initialized. This is a roll-up-your-sleeves role, just as much about keeping the office stocked and running as it is about supporting two busy partners. If you’re someone who gets energy from making things work behind the scenes and can context-switch without dropping the ball, you’ll thrive here.

Requirements

  • Low ego, high team-player mentality, you see what needs doing and you do it. No task is too small.
  • Thrive in high-autonomy, high-ambiguity environments where you're handed an outcome and own the path to get there
  • Embrace AI as a core productivity tool and have already (or are eager to) integrate it into daily practice
  • Comfortable context-switching across partner support, office operations, and event execution at any moment
  • Brings ~2-3 years of experience in an administrative, EA, office, or coordination role, transferable experience welcome (startup or fast-paced environments a plus)
  • Exceptionally organized, discreet, and professional when handling sensitive information
  • Based in the SF Bay Area and available to work in-office 4x/week (SF preferred)
  • Resourceful and fast-moving, with an owner's mindset, knows when to fix independently and when to escalate
  • Diagnoses before executing, knows how to ask the right questions and gather the right context before jumping to a solution
  • Sharp communicator and a natural cross-functional collaborator
  • Fast learner who picks up new tools and systems quickly
  • Leaves teams, processes, and systems better than you found them

Responsibilities

  • Own the day-to-day of our SF office: supplies, snacks, mail, vendor coordination, and making sure the space is always tidy, functional, and stocked
  • Be the point person for facilities, landlord, cleaners, and service providers - when something breaks, you're the one who makes sure it gets fixed
  • Create a great in-office experience for guests and the team: greeting visitors, setting up rooms, and keeping things running smoothly
  • Track and distribute company swag
  • Own the calendar for two partners: schedule, reschedule, and protect time across internal, investor, and external meetings (and across multiple time zones)
  • Arrange travel (largely domestic) and provide clear, simple itineraries
  • Ensure partners’ timeliness and readiness to meetings, events, and engagements
  • Assist in event logistics and research as well as be on the ground support
  • Jump into one-off projects for any Initialized team
