About The Position

The Administrative Assistant plays a key role in supporting the administrative operations of Meta House. This position provides comprehensive administrative assistance to the Board of Directors, Executive Leadership Team, and other agency leaders across administrative and operational departments. In addition, the Administrative Assistant collaborates with staff across the organization to coordinate and support enterprise-wide training requirements. Responsibilities also include data entry, clerical tasks, communications support and providing reception coverage to ensure smooth daily operations.

Requirements

  • 40+ WPM Typing Ability with 90%+ Accuracy
  • 5500+ numeric KPH Data Entry with 90%+ Accuracy
  • Excellent verbal and written communication
  • Demonstrated organizational skills
  • Proficient computer skills including Microsoft Office Suite products including Word, Outlook, and Excel
  • Ability to provide excellent customer service by providing a welcoming presence at the front desk as the primary backup for reception
  • Ability to interact with clients in a warm, professional, respectful, and non-judgmental manner
  • Strong attention to detail, data entry skills, and strong time management and organizable skills
  • Able to work in a multi-cultural setting
  • Ability to handle and store confidential information appropriately
  • Ability to create and curate training content to best fit the organization’s, department’s, or individual’s needs
  • Must be able to: Sit for prolonged periods Valid Wisconsin driver's license (if driving is required) Employees who, as part of their regular duties, transport Meta House clients to and from meetings or appointments in their personal vehicle must carry and maintain proof of current Wisconsin automobile liability insurance coverage at or above the minimum state requirements Employees must present proof of insurance (insurance card or electronic equivalent) upon request by Meta House

Responsibilities

  • Administrative support for Board of Directors, Executive Leadership Team and other agency leaders including: Schedule and coordinate all relevant logistics for internal and external meetings including compiling, preparing, and distributing well-organized and accurate materials Transcribe and/or compiling accurate and complete meeting minutes and any related post-meeting acknowledgments Maintain records and enter data with a high degree of accuracy and efficiency
  • Collaborate with departments to support enterprise-wide training requirements through the following: Ensure all mandated staff trainings are scheduled and updated as needed Maintain training database and/or tracking logs to ensure completion of mandated trainings including any follow-up communication with leaders to enforce same Assist with scheduling and coordination of additional desired trainings
  • General agency administrative support including: Enter data for grants, donor tracking, and/or other functions with high degree of accuracy and efficiency Prepare correspondence and/or assist with scanning, duplicating, and collating print projects or other documents Sort and/or stock office or program supplies or donations Assist with communications – both electronic and paper
  • Provide a welcoming presence at the front desk as backup to Welcoming Specialist which includes: Providing information regarding Meta House and its services Greeting clients, visitors, and callers and direct to appropriate staff Sorting and handling incoming and outgoing correspondence and packages Processing membership / service payments or donor gifts and accurately documenting same
