About The Position

ADMINISTRATIVE ASSISTANT | ESSENTIAL FUNCTIONS: • Coordinate and facilitate day-to-day administrative aspects of the office. • Operate telephone system to answer, screen, and forward calls; provide information and take messages. • Provide a friendly and professional experience for all office visitors while directing guests to the appropriate staff or areas. • Interact with vendors, clients, and internal staff in a positive and professional manner. • Assist with office supply inventory and ordering. • Collect, sort, distribute, and prepare mail, packages, and deliveries. • Perform filing, scanning, faxing, document preparation and copying as needed. • Assist technical and field services staff with project-related administrative tasks. • Assist with coordination of company events and meetings. • Maintain cleanliness and organization of the office, including common areas, conference rooms, and shared spaces. • Develop and maintain positive working relationships with employees across all company locations. • Meet with employees, customers, suppliers, and guests as needed to support operations and promote strong working relationships. • Support staff with other administrative needs across departments. • Conduct all activities in a safe and productive manner. • Promote a positive and professional working environment aligned with company goals. • Perform other duties as assigned.

Requirements

  • Strong attention to detail and accuracy in completing tasks.
  • Excellent communication, organization, and time management skills.
  • Ability to adapt to changing priorities and work in a fast-paced environment.
  • Proficiency in Windows-based programs and general computer skills.
  • Ability to operate standard office equipment (phone, copier, scanner, etc.).
  • Self-motivated with the ability to work both independently and as part of a team.
  • Reliable, dependable, and eager to learn.
  • Ability to maintain confidentiality.
  • Strong interpersonal skills for interacting with employees, clients, and vendors.
  • Ability to multitask while maintaining a professional and supportive work environment.
  • High School Diploma or G.E.D. required.

  • Previous administrative or office experience preferred.
