About The Position

The Administrative Assistant serves as the first point of contact for clients, visitors, and employees, playing a crucial role in creating a welcoming and professional environment. The Administrative Assistant will perform a variety of general administrative duties, including greeting clients and visitors, handling correspondence, and maintaining office organization to support smooth daily operations. Ultimately, this role contributes significantly to the overall efficiency and positive image of the organization through excellent communication and organizational skills.

Requirements

  • Strong verbal and written communication skills.
  • Ability to manage multiple tasks efficiently and maintain a professional demeanor.
  • Ability to type by touch.
  • Proficiency in handling a phone queue or multi-line phone system and general office equipment.
  • Proven experience as a receptionist or in a similar administrative role.
  • High school diploma or equivalent.
  • Customer service experience, training or certification.
  • Experience with office software such as Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational skill with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills for client and attorney interactions.
  • Attention to detail.
  • Professional demeanor and commitment supporting a collaborative team environment.
  • Previous experience in an office environment.

Responsibilities

  • Greet clients and visitors warmly, providing assistance and directing them to the appropriate personnel or departments.
  • Perform general office duties including emailing, copying, faxing, tracking incoming mail, and maintaining office supplies and equipment.
  • Maintain a clean and organized reception area to create a professional and inviting atmosphere.
  • Coordinate incoming and outgoing mail and deliveries.
  • Imaging and distribution of documents.
  • May perform other duties as assigned to support department goals.
  • May occasionally work extended hours based on operational needs.
