About The Position

Under minimal supervision, this position performs complex secretarial and administrative support for the executive team, VP, 2 AVPs, and 2 Directors for Radiology Regional. Key responsibilities include meeting and travel scheduling, reporting, administrative projects, meeting preparation, and special assignments. The role involves scheduling various events, drafting confidential correspondence, editing documents, taking and transcribing meeting minutes, and handling other administrative duties. The assistant will also answer telephone calls, provide assistance to callers, distribute messages, organize and maintain files, follow up on pending matters, perform independent research for special reports, and serve as a liaison between executives and managers. Additionally, the role requires cooperation with other personnel and handling copying and faxing documents while maintaining office files and tracking systems.

Requirements

  • Minimum five years of experience in a related field or combination of experience and education.
  • PACE (Professional Administrative Certification of Excellence) Certification.
  • Able to exercise a high degree of initiative, judgment, discretion and decision-making to achieve objectives including the ability to handle highly confidential issues.
  • Demonstrates a high-level of integrity and a pro-active approach to customer service.
  • Working knowledge of computers, including MS Word and Outlook and proficiency in Excel and PowerPoint.
  • Ability to handle complex assignments under minimal supervision.
  • Excellent interpersonal skills with the ability to communicate clearly both written and verbally.
  • Mathematical ability to add, sub-tract, multiply, divide whole numbers, decimals, and fractions.
  • Ability to be detail-oriented.
  • Must be able to work effectively both independently and with others.

Responsibilities

  • Schedules meetings, appointments and other events; notifies attendees, coordinates travel accommodations and makes necessary arrangements.
  • Drafts confidential correspondence, edits documents, takes and transcribes minutes of meetings, and performs other administrative duties.
  • Promptly and courteously answers telephone calls. Provides effective and efficient assistance to callers and distributes messages as necessary.
  • Organizes and maintains files of supervisor's correspondence and records, following up on pending matters.
  • Performs independent research and prepares information for special reports, gathering and summarizing data.
  • Serves as a liaison between executives, managers.
  • Cooperates to help other personnel as needed in the spirit of teamwork.
  • Copies and faxes documents while maintaining office files and other information tracking systems.
