The Administrative Assistant partners with the Executive Director to oversee the daily operations of the community in regards to recruiting, accounts receivable, accounts payable, greeting guests, etc. Responsibilities include but are not limited to: Answer telephones in a courteous, friendly manner. Monitor doors Greet and direct visitors in a courteous and friendly manner. Handle all incoming and outgoing mail. Forward any mail to families of residents who no longer reside at the community. Review recruiting portal, post open positions as needed and ensure hiring manager has copies of applications. Document in recruiting portal status of applicants and new hires. Record fingerprint logs correctly. Ensure new hires are compliant with completing TB screenings and orientation packets Reviews and audits employee files for state regulation compliance. Distributes pay checks Maintains employee phone list. Orders supplies Reviews payroll daily and tracks attendance, report offs, tardies, and paid time off for all employees. Notifies supervisor of any time card discrepancies to resolve before payroll close. Completes personnel files for all staff. File all documents in personnel files for past and present employees Creates employee name badges upon hire. Replaces as needed. Responsible to managing the resident trust account. Reconciles bank statement each month, keep tracks of receipts and sends out quarterly statements. Prepares employee performance evaluations for supervisors and track for completion. Puts new hires in payroll and registers with time clock during sign in. Completes sign in and tracks new hire progression. Ensures all invoices are turned into Executive Director for review prior to submission. Keeps record and tracks payment. Notifies corporate of any outstanding, urgent invoices. Oversees receptionist team, from recruiting and hiring to ongoing training. Reviews schedules before posting for department. Covers shifts as needed for call offs while controlling overtime. Creates resident facesheets and business files upon move in. Keeps internal communication forms up to date and ensure they are provided to appropriate department. All other duties as assigned Conducts tours and completes inquiry calls in absence of Executive Director.
