As an Administrative Assistant supporting two senior Sales leaders, you’ll help the team move faster and operate smarter. You’ll be a trusted partner who keeps priorities clear, logistics seamless, and client moments thoughtfully executed.

Requirements

  • You have 3+ years of experience supporting senior leaders in a fast-paced, dynamic environment
  • You’re highly organized and skilled at prioritizing competing demands without losing attention to detail
  • You communicate clearly and professionally with executives, team members, clients, and external partners
  • You’re confident managing complex scheduling across time zones and stakeholder groups
  • You have experience booking detailed travel and adjusting plans quickly when circumstances change
  • You’re comfortable with expense reporting, invoice processing, and basic budget or operating expense tracking
  • You bring discretion, integrity, and sound judgment when handling sensitive information
  • You’re proactive, solutions-oriented, and anticipate needs before they become urgent
  • You’re comfortable building and editing presentations (Keynote, Google Slides, PowerPoint) and working in spreadsheets (Excel or Google Sheets)
  • You have experience with Salesforce or a similar CRM, or you’re eager to learn

Responsibilities

  • Manage and prioritize complex executive calendars, scheduling internal and external meetings across multiple time zones
  • Anticipate scheduling conflicts and proactively resolve them with clarity and sound judgment
  • Prepare agendas and meeting materials, and help track follow-ups and action items
  • Coordinate business travel end-to-end, including flights, hotels, ground transportation, and detailed itineraries
  • Manage travel changes and disruptions calmly and efficiently
  • Support travel documentation needs as required, including visas and business travel requirements
  • Submit and reconcile expenses through company systems, process invoices, and support operating expense tracking
  • Coordinate conference rooms, meeting technology, and office logistics in partnership with IT and facilities
  • Serve as a point of contact for vendors and cross-functional stakeholders
  • Coordinate logistics for client events, sponsorships, hosted experiences, and guest visits to ensure a polished brand experience
