MAJOR ACCOUNTABILITIES/CRITICAL RESPONSIBILITIES: Manages the day to day operations of the Office of Research (i.e. phones, service scheduling, appointments) and ensure that these services are provided in a friendly, prompt, courteous, and compassionate manner. Oversees the management and coordination of Office of Research related schedules, including scheduling of all external sponsor and CRO visits. Provides overall department support with administrative functions such as payroll processing, ordering of supplies and materials, scheduling of meetings, etc. Prepares payroll and PTO balance information and keeps track of PTO requests in Kronos. Manage meeting reservations and business travel arrangements for the Director of Research and other members of the team who travel for work-related meetings. Maintain confidentiality of all sensitive information. Manage ordering of office supplies. Independently research and follow through on a wide variety of information request. Actively anticipates implications of schedules, communicates and acts to facilitate orderly functioning of the office. Compose routine correspondence independently and regularly, to support communication from the office. Fully support and coordinate the Stamford Health Annual Research Day. Offer support to Regulatory teams to maintain compliance with Regulatory documents and eRegulatory system. Proficient in Clinical Trials Management System through running of reports for Compliance and committee reporting. Create Phillips Pathway builds for Oncology Research as part of Dana Farber collaboration and then maintain these pathways for clinical research participants. Perform special projects as directed by the Director and his/her designee, including but not limited to review, research and summarization of information. QUALIFICATIONS/REQUIREMENTS: High School Diploma or GED required required 1-3 years administrative assistant experience required Excellent organization, problem solving, negotiation, verbal, listening and written communication skills are required. Knowledge of medical terminology is highly preferred. Ability to work independently and balance multiple priorities is required. Proven success making decisions and exercising sound judgment. Individuals exhibit a high degree of responsibility in confidential matters. The individual understands HIPAA and confidentiality. Knowledge of office record keeping and workflow processing is required. Strong interpersonal skills are required. Broad based experience in dealing with personnel across multiple levels.
