About The Position

The Administrative Assistant supports the day-to-day operations of our campus (“the Ranch”) by ensuring spaces are clean, stocked, welcoming, and prepared for staff, volunteers, guests, and events. This role also assists with livestream support, donor and team hospitality, mail processing, and general administrative projects. The ideal candidate is dependable, detail-oriented, proactive, and willing to jump in wherever help is needed. This position may occasionally require work outside of normal business hours to support events or special projects.

Responsibilities

  • Restock kitchen, coffee areas, and bathrooms; reorder supplies as needed
  • Wash and rotate hand towels and kitchen towels (weekly)
  • Arrange team breakfasts and hospitality items as requested
  • Gathering cards for team birthdays (including collecting signatures)
  • Assist with purchasing and preparing staff and donor gifts
  • Monitor livestreams as assigned (basic chat moderation and support)
  • Help coordinate and schedule livestream volunteers
  • Communicate reminders and coverage needs to volunteers
  • Pick up mail (mailbox and PO box)
  • Sort and distribute mail appropriately
  • Scan and deposit checks following established procedures
  • Assist with basic budgeting tasks, such as tracking expenses, organizing receipts, and updating simple spreadsheets
  • Make donor thank-you and follow-up calls as assigned, using provided scripts and guidelines
  • Assist with planning and setup for team culture events and celebrations
  • Help with logistics and hospitality for donor events
  • Support onsite needs during events (set-up, tear-down, refreshments, guest assistance, etc.)
  • Run occasional errands (local pickups, returns, etc.)
  • Provide backup childcare/babysitting support when requested and approved
  • Assist with miscellaneous projects assigned by the Culture Department
