About The Position

The Administrative Assistant provides high‑level support to Nursing Directors, ensuring the smooth and efficient operation of nursing services and supporting initiatives that advance nursing strategic and operational goals across the organization.

Requirements

  • Associate’s degree in related field or equivalent experience.
  • Four (4) years of office and administrative experience.
  • Healthcare experience reporting to several leaders.
  • Proficiency with Microsoft Office365 Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication with a high level of professionalism.

  • Bachelor’s degree in business or healthcare administration preferred.

Responsibilities

  • Manage calendars for Nursing Directors, schedule meetings and appointments, coordinate meeting planning, arrange conference rooms, organize internal and external events, and ensure access to necessary technology and materials.
  • Coordinate and schedule nursing leadership interviews, manage candidate itineraries, and support onboarding processes for new nursing leaders.
  • Serves as the first point of contact for the division; screen communications, greet and assist visitors, and provide professional customer service to staff, physicians, and external partners.
  • Arrange business travel and off‑site meetings, including booking flights, accommodations, and conference registrations for nursing leadership.
  • Process incoming accounts payable invoices, nursing travel expenses, and reimbursement requisitions.
  • Supports the implementation and use of new administrative tools, systems, or software.
  • Coordinates Nursing Council, Governance, and Quality Board meetings by preparing agendas, organizing documentation, and producing accurate, timely minutes for distribution.
  • Maintains the internal nursing website on behalf of the Nursing Councils.
  • Prepares meeting agendas, assemble reports and documentation, handle requests for information, and record, transcribe, and distribute committee meeting minutes.
  • Maintains electronic and hard‑copy filing systems, departmental manuals, and administrative records.
  • Prepare and modify documents including correspondence, reports, memos, and emails.
  • Assists in budget preparation and monitor monthly departmental budget reports.
  • Orders and maintain supplies across multiple offices, manage special orders, and coordinate repair and maintenance of office equipment.
  • Maintains awareness of legal requirements and standards from relevant regulatory or accrediting bodies.
  • Maintains strict confidentiality regarding employee, patient, legal, budgetary, committee, and departmental matters.
  • Conducts research on clinical or administrative topics as requested by the Nursing Directors.
  • Performs other duties as assigned.
  • Demonstrates excellent written and verbal communication skills and the ability to build and maintain positive relationships with employees, physicians, clients, committee members, regulatory agencies, vendors, and the public.
  • Exhibits exceptional organizational skills, sound judgment, professionalism, and the ability to manage competing priorities in a fast‑paced healthcare environment.

  • Maintains accuracy, attention to detail, and consistency in all administrative tasks.
  • Manages, prioritizes, multiple assignments, and remain effective during periods of elevated stress.
