About The Position

Under general supervision, the Administrative Assistant provides a wide range of administrative and clerical support to the Same Day Services department. This role supports an interactive, fast-paced team where collaboration, adaptability, and patient-centered service come first.

Requirements

  • High school diploma or equivalent
  • Up to one year administrative experience preferred
  • Ability to perform advanced functions in word processing, electronic mail/calendar, spreadsheet, presentation and database software
  • Ability to use applicable MS Suite products
  • Working knowledge of business processes and procedures
  • Knowledge of basic accounting and financial principles and functions
  • Ability to analyze data and use basic reasoning skills
  • Act 34 with renewal

Responsibilities

  • Serve as the first point of contact by answering, screening, and routing incoming calls and messages. Respond to routine questions in a courteous and professional manner.
  • Greet, screen, and direct patients, visitors, and staff to the appropriate location or team member. Contribute to a welcoming and efficient patient experience.
  • Provide administrative support by researching, drafting, compiling, and abstracting routine reports. Organize and analyze basic information as requested.
  • Assist leadership and the department with presentation preparation, including basic editing, formatting, copying, and printing. Ensure materials are accurate and ready for use.
  • Maintain supervisor calendars by scheduling meetings, reserving conference rooms, ordering food, and ensuring equipment is available and functional. May document meeting minutes when needed.
  • Manage routine correspondence by sorting, prioritizing, and composing messages following established procedures. Route critical information appropriately and communicate on behalf of department leadership as directed.
  • Perform general clerical duties such as filing, copying, typing, and data entry. Establish and maintain organized files, logs, and departmental records.
  • Order office supplies and assist with maintaining office equipment to support daily operations. Identify needs proactively to ensure workflow continuity.
  • Support a highly collaborative team in an ever-changing environment by remaining flexible and responsive to departmental needs. Maintain focus on patient-first service at all times.
