About The Position

This position will serve as administrative support to the Administrator for the Office on Aging. Work includes a variety of complex assignments to support the mission of the agency, it’s daily operations, programs, staff and consumers. This position is 100 percent in person and does not have a remote option.

Requirements

  • Associates Degree in Administration, Business, General Studies, or related field with a Minimum of three (3) years of high level admin support experience.
  • High School Diploma with a minimum of five (5) years of of high level admin support experience.
  • A valid Class C non-commercial drivers license with no more than three (3) points.
  • Ability to work independently and proactively with a clear understanding of policy and boundaries
  • Excellent interpersonal skills and ability to build relationships with staff and a broad range of diverse stakeholders
  • Excellent oral and written communication skills
  • Excellent organizational skills and ability to meet deadlines, anticipate and troubleshoot barriers and problem solve in the moment and proactively
  • Strong attention to detail
  • Ability to deal with multiple priorities, multitask and manage interruptions while proactively anticipating management and agency needs
  • Ability to thrive in a potentially unpredictable work environment. Flexibility and adaptability while maintaining professionalism and completing tasks
  • Proficiency in Microsoft Suite products, particularly Word, Outlook and Excel.
  • Ability to learn additional software products and to assist in refining, development and training of staff in unique software systems for data management and reporting

Responsibilities

  • Gathers, compiles and inputs data and completes reports for upper management, funding agencies and for other purposes. Reports may be written, data driven or both as well as written or electronically submitted.
  • Take minutes and provide administrative support for meetings and groups associated with the agency.
  • Receives and responds to inquiries from the community, agency partners, state agencies and stakeholders, responds when appropriate or assists Administrator in response.
  • Prepares materials for presentations, events, and meetings to support the Administrator and agency team.
  • Assists with and compiles grant applications, completes research, forms, assisting with editing, and submitting to funding agencies.
  • Maintains critical agency files and records in organized accessible fashion.
  • Prepares and sends correspondence and maintains records of the same.
  • Works collaboratively with program leads and agency staff to complete tasks, maintain progress toward deadlines and support the work of the broader team.
  • Assists with other administrative tasks and needs within the agency.
  • Maintains agency calendar of activities.
