About The Position

Performs advanced administrative support work. Work involves providing and coordinating administrative support including disseminating information; developing filing systems; preparing and editing reports and documents; and serving as a lead worker providing direction to others. Works under limited supervision with considerable latitude for the use of initiative and independent judgment.

Requirements

  • Graduation from an accredited senior high school or equivalent or GED.
  • Four years full-time, wage-earning customer service, clerical, secretarial, administrative support, or technical program support experience.
  • Knowledge of office practices and procedures.
  • Knowledge of inventory and stock control methods, policies, and procedures.
  • Skill to communicate ideas and instructions clearly and concisely.
  • Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
  • Skill to interpret and apply rules, regulations, policies, and procedures.
  • Skill in problem-solving techniques.
  • Skill in the use of computers and related equipment in a stand-alone or local area network environment.
  • Skill to prepare and maintain complex records and files in an automated system.
  • Skill to review technical data and prepare technical reports.
  • Skill to train and supervise the work of others.

Nice To Haves

  • Experience in inventory and stock control.
  • Experience in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs.
  • Experience in the supervision of employees.
  • Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations.

Responsibilities

  • Performs technical assistance work; and coordinates work with organizational units of the agency, local, state, and federal agencies, and private organizations.
  • Assists in the implementation of program planning to ensure quality services are provided; participates in conducting on-site inspections and reviews to ensure inventory problems are recognized, analyzed, and resolved; and reviews reports to evaluate effectiveness and efficiency of inventory control.
  • Responds to inquiries regarding technical program and administrative rules, regulations, policies, and procedures; coordinates, prepares, interprets, and disseminates information on agency programs and procedures; compiles and edits data, makes calculations, and prepares reports; and coordinates the preparation of correspondence, studies, forms, and other documents.
  • Assists in improvements for the ordering process with vendors, warehouses, and customers; and assists in coordinating improvements in warehouse inventory and stock control performance indicators and reporting to include safety, cross-leveling of excess, and the elimination of obsolete items among various warehouses.
  • Trains and supervises the work of others.
  • Performs a variety of marginal duties not listed, to be determined and assigned as needed.
