About The Position

JOB SUMMARY: The employee in this role will provide administrative support for worship and music studies at Southern Seminary and Boyce College. They will work closely with both the Program Coordinator for Boyce Music and Worship, and Southern’s Chair of the Department of Biblical Worship to accomplish department objectives. ESSENTIAL JOB FUNCTIONS: Manages departmental email accounts, ensuring prompt and accurate communication. Designs and sends monthly departmental newsletters. Coordinates business related travel arrangements for worship faculty, bands, and ensembles. Responsible for the knowledge of worship degree information and available resources. Prepare and submit bi-annual scholarships for BGS and Boyce music groups. Provide administrative support to the Program Coordinator and Department Chair such as scheduling meetings, submitting reimbursements and email correspondence. Assist Dean’s office in fulfilling departmental faculty and adjunct new hire needs. Maintain clear departmental communication among worship faculty, instructors and students, notifying everyone of building changes, policy updates, events, etc. Coordinate adjunct teaching schedules, room preferences and instrument needs. Assist with administrative components of music accreditation (NASM). Coordinate promotional logistics such as ordering print materials, creating programs and managing website and social media content. Coordinate worship needs for Chapel services and Dorm Meeting. Coordinate recruitment strategies alongside the Office of Admissions. Coordinate departmental events such as recitals, concerts, recording projects, juries, recruiting events, and visiting musician engagements. Assist Dean’s office with departmental accounting needs such as check requests, daily cash reports, PAFs and honorariums. Oversee the scheduling of instrument maintenance and responsible for proper instrument stewardship Maintain departmental handbook Assist with capital requests for instruments and music equipment. Assist in the administration of the Bachelor’s of Science in Music Education in conjunction with the TEP program. Oversee Southern’s Worship Portfolio course and supply course submissions during annual accreditation review. Assist with the scheduling and stewardship of Cooke Hall. Other duties as assigned by supervisor. EDUCATION: The person in this position must have earned a bachelor’s degree. EXPERIENCE: The person in this position must have administrative assistant experience. The person must be detail-oriented, responsible, organized, and have a general knowledge of music needs. SUPERVISION: The person in this position will supervise no one. The person in this position will report to the Dean of the Billy Graham School of Missions, Evangelism, and Ministry WORK ENVIRONMENT: The person in this position will work in an office environment. EQUIPMENT: The person in this position will use the following equipment or software: Microsoft Office, Adobe Acrobat, copier, computer, phone, google suite, planning center, etc.
