About The Position

Under the supervision of the Dean of the Noonkester School of Arts and Letters, the administrative assistant to the Dean oversees and manages all activities of the Dean’s Office. Performs duties related to the service of A&L faculty, staff, students and the general public by carrying out functions of the Noonkester School of Arts and Letters. This job description does not state or imply that these are the only duties to be performed by the employee occupying this position. The duties and responsibilities listed are essential job functions and exclude functions which are incidental to the performance of fundamental job duties. Assist the university in implementing the Statement of Purpose. Assist the university in implementing the long-range institutional and financial plans.

Requirements

  • High school diploma
  • Ability to use common office productivity software, including Microsoft office suite (Word, Excel, and Outlook).
  • Ability to learn WCU’s student database software and classroom technology.
  • Ability to solve practical problems and deal with a variety of situations and people
  • Ability to respect and adhere to the strict confidentiality requirements of student and faculty records and engagement
  • Editorial skills, interpersonal skills, command of standard written and spoken English, data entry skills, knowledge of and/or ability to learn SIS, Word, Adobe Acrobat and EXCEL
  • Must be able to perform duties in an on-campus setting

Nice To Haves

  • Bachelor’s degree or 2 or more years clerical/office/administrative background
  • Experience in academic setting
  • Ability to create a welcoming and helpful environment for the students, staff, and faculty.

Responsibilities

  • Coordinate and manage academic schedules in the Noonkester School, including the entry of schedules into Student Information System (SIS), designation of faculty to teach each class, provision for details of class offerings
  • Coordinate and manage email and telephone contacts for the Dean’s office
  • Coordinate and manage calendar and appointments for the Dean.
  • Coordinate, create and manage adjunct and overload contracts for all departments in the Noonkester School
  • Coordinate, create and manage independent study requests, including processing contracts and creating courses in SIS
  • Plan and coordinate travel for the Dean, to include reservations, payments, reimbursements and all necessary arrangements for travel, dining, and lodging.
  • Assist students with problems or goals related to advisement and registration
  • Coordinate and manage logistics for the Noonkester School’s celebration of Humanities Month each October in conjunction with the Mississippi Humanities Council
  • Assist Dean in managing special projects, events, and duties related to the Noonkester School
