Administrative Assistant to Superintendent - Interim with potential for full time hire

About The Position

Performance Responsibilities: 1. Acts as confidential secretary to Superintendent and other Central Office administration as needed. 2. Works collaboratively with Human Resources Specialist to gather and prepare confidential material connected with collective bargaining and other legal matters for the Superintendent. 3. Gathers pertinent material/statistics/data for preparing reports. 4. Acts as intermediary for the Superintendent. 5. Prepares and assists with preparation of written reports and questionnaires of a general, financial, governmental nature. 6. Prepares all state/federal reports of a statistical and financial nature. 7. Attends School Committee meetings, town departmental meetings, State Department of Education workshops and others as needed. 8. Takes dictation and transcribes correspondence, memoranda, minutes, speeches, etc. 9. Composes written communication. 10. Organizes and types reports from rough draft and long-hand notes. 11. Assists with the preparation of budgets, bid specifications, legal notices, minutes, agendas, copy for publication, etc. 12. Maintains a regular filing system, as well as a set of locked confidential files. 13. Maintains daily calendar and appointment schedule for the Superintendent, which includes preparing agendas and necessary documents for scheduled meetings. 14. When needed - answers phone, acts as receptionist, entertains visitors, handles inquiries, etc. 15. Handles all School Committee meeting preparations and postings. 16. Maintains financial records, homeschooling spreadsheet, and vocational spreadsheet along with any accompanying correspondences. 17. Handles Building Usage Requests, Field Trips, and Transportation Correspondence. 18. Maintains social media and District website. 19. Works in harmony with Town Hall officials regarding District matters. 20. Deals with local press - prepares press releases. 21. MA Department of Education Directory Administrator (oversees DESE Security Portal functions for STGRSD.) 22. MA DESE SIMS, EPIMS, and SDS Coordinator for STGRSD back up and/or administrator. 23. Responsible for filing/uploading MA DESE Circuit Breaker Report, PRS reports and information, and serves as the official records access officer for the District. 24. Responsible for MA DESE School Choice Report(s). 25. Handles any other duties as may be assigned by the Superintendent.
