The Canton Public Schools is seeking an exceptional and dynamic candidate to serve as the Administrative Assistant for Student Servcies to immediately . Job Summary This position requires a dynamic, flexible, and highly skilled individual to assist in the administration of the daily activities and processes that fall under the central office position of Director of Student Services. This position will assist with administrative and clerical duties, including knowledge of the functions and operations of the student services department and familiarity with the laws, rules, and regulations of the student services office.

Requirements

  • High School Diploma required; Bachelor’s Degree preferred
  • Proven ability to work in a positive, respectful, and friendly manner with many different stakeholders
  • Demonstrated aptitude or competence for assigned responsibilities
  • Outstanding written and verbal communication skills
  • Well-organized and detail-oriented
  • Exceptional interpersonal and presentation skills
  • Working knowledge of relevant technologies: internet and email systems; word processing, presentation, and spreadsheet software; and Google educational software
  • Willingness to learn SMS program for Special Education
  • Employment-based on successful completion of CORI and fingerprinting background
  • Such alternatives to the above qualifications as the school department may find appropriate and acceptable

Responsibilities

  • Maintains all special education electronic and paper files for students with disabilities including but not limited to organization of files, related services files, individualized education plans (IEP), evaluation team reports; coordinates with Team Chairpersons for missing documents
  • Processes incoming records; uploads/enters them to the appropriate database
  • Ensures that all students in the special education database have current information and files are complete as required by Massachusetts Department of Elementary and Secondary Education (DESE)
  • Processes requests for records from outside school districts/agencies and contacts school districts to acquire student records information for enrollment and file completion
  • Prepares all department purchase orders
  • Maintain and manage student services budget in conjunction with the Director of Student Services
  • Works with with enrollment coordinator to facilitate new student enrollments in special education
  • Arranges special education out of district transportation and communicates with all transportation vendors
  • Establishes and maintains a variety of computerized data collection systems and other record systems assuring confidentiality of designated files
  • Maintains student service inventories
  • Track, manage, and coordinate payments of out of district tuition
  • Assists with research and data collection for end of year reporting including Circuit Breaker.
  • Manages translation services for IEP and other meetings
  • Manages tutoring services with outside agencies for students who are hospitalized
  • Responsible for collecting and assisting with filing Medicaid information
  • Work with the Director of Student Services and Assistant Superintendent of Finance and operations to create contracts for out of district schools
  • Works with Assistant Director of Student Services to schedule out of district meetings
  • Adheres to all stated timelines and deadlines as appropriate
  • Communicates with parents tactfully and with sensitivity, recognizes and maintains confidentiality in job-related matters and creates a positive and welcoming culture in person or via verbal or written communication
  • General clerical work such as filing, phone calls, stakeholder correspondence
  • Perform other duties as assigned by Director of Student Services or Assistant Director of Student Services
