About The Position

The administrative assistant is the first point of contact for visitors and clients, providing exceptional customer service while managing a variety of administrative tasks. Essential Functions To accomplish this job, an individual must be able to perform each essential function. Reasonable accommodations may be made to help enable qualified individuals with disabilities to perform the essential functions: Professionally greets visitors and ensures badge assignment and other visitor-related security measures are consistently enforced; may generate employee badges and support new employee setup and onboarding/orientation Answers, appropriately screens, and routes phone calls promptly and in a courteous, professional manner Responds politely and professionally to employee inquiries, providing instructions, resources, or other information as required Maintains appropriate inventory of office and other supplies, placing orders or making in-person purchases as appropriate; establishes and maintains relationships with vendors and vendor programs Maintains a variety of tracking spreadsheets and metrics for management reporting; may utilize ERP/Accounting software to record and store information Receives, unwraps, inspects, and stores incoming materials; responsible for accurately recording counts, weights, condition, and storage locations for received items Documents discrepancies and damage of received items; corresponds with suppliers and internal procurement and accounting personnel as needed to resolve these issues Packages products to protect them from damage during transportation and storage; examines shipments to ensure they meet customer requirements and comply with carrier requirements and export & customs regulations Verifies accuracy of orders and maintains accurate records of shipments; compares identifying information and counts, weighs, and measures items to verify against bills of lading, customer orders, or other records Assists the Quality Control department with data entry tasks during high-volume or backlog periods to maintain workflow Performs other duties as assigned Regular attendance on-site at the work location is required This role is identified as requiring ITAR (International Traffic in Arms Regulations) compliance; therefore, qualified candidates must meet the definition of a U.S. Person (per EAR Part 772 and ITAR 120.15): An individual who is granted U.S. citizenship, or An individual who is granted U.S. permanent residence (i.e., a "Green Card" holder), or An individual who is granted status as a "protected person"

Requirements

  • A high school diploma or GED equivalent is required
  • At least one (1) year of clerical/administrative support or office management is preferred
  • Demonstrated analytical, problem-solving, and critical thinking abilities to handle unexpected challenges and make decisions appropriately
  • Communication skills to effectively and professionally exchange and present information (English)
  • Commitment to maintaining confidentiality, securing company records, and demonstrating discretion and integrity in communications and actions
  • Self-management skills, including initiative, efficiency, sense of urgency, ability to adapt and respond to unexpected circumstances, and ability to juggle multiple projects, competing priorities, and meet concurrent deadlines
  • Friendly and professional verbal and written communication skills (English)
  • Proficiency in Microsoft Office applications, including Outlook, Teams, SharePoint, and advanced intermediate skills using Excel, PowerPoint, and Word
  • Sit for prolonged periods at a desk while working on a computer
  • Regularly stand and walk
  • Occasionally climb steps or stairs
  • Constantly communicate verbally and in writing (English) using a phone, texts, or other messaging, and email
  • Use hands and fingers to operate computer keyboards, mouse, or other peripherals
  • Drives personal vehicle as needed to run errands and perform essential duties
