About The Position

Overview Summary: The Restoration Center (RC) Administrative Assistant promotes the full integration and functioning of Persons Served (PS) needed to live successfully in the community by providing administrative and clerical support to all RC staff. Implements clerical and administrative systems to support staff in maintaining their productivity and focus on helping PS. Maintains service, billing, utilization, and program administrative protocols. Welcomes PS and others visiting the RC office and manages messages and interactions on the general phone line as needed.

  • One to three years' experience in an administrative support function is strongly preferred.
  • High School diploma, GED or equivalent required.
  • May be called on to drive for Vinfen using either a Vinfen van or personal vehicle.
  • A valid driver's license must be presented at the time of employment.
  • Incumbents must be at least 21 years of age, have maintained a valid US driver's license for at least one year, and must be able to pass a driver's screening background check.
  • If driving, must maintain a safe driving record, which is subject to annual checks.
  • If using a personal vehicle, must possess and maintain adequate insurance.
  • Administrative/Direct Care Roles - Ability to stand, walk, bend, kneel, stoop, crouch, crawl, climb as this is a very physically active position.
  • Must be able to lift at least 25 pounds using proper lifting techniques or the use of a two-person lift.
  • Ability to operate a computer and other office equipment such as a calculator, copier, and printer.
  • Ability to sit, reach, climb stairs, and maneuver through narrow spaces or hallways.
  • Ability to assist clients with tasks of daily living.
  • Ability to remain in a stationary position 50% of the time, as needed.
  • Ability to bend, reach, file, sit, stand, and move around the facility.
  • Ability to speak, hear, and communicate with clients, staff, and external representatives.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • For positions in day programs or group residences, the ability to assist in routine living activities including cleaning, meal preparation, vacuuming, shoveling, and grocery shopping.
  • CPR within 2 weeks of hire, First Aid within 2 weeks of hire

Nice To Haves

  • Preference given to bilingual/bicultural applicants and applicants with lived experience of psychiatric conditions.
  • Experience in a social service setting is strongly preferred.

Responsibilities

  • Welcomes visitors and directs them to proper staff person.
  • Answers telephones and directs calls to proper party. Assists with and check phone messages. Maintains phone listings.
  • Directs questions to correct staff and responds to inquiries as able.
  • Assists with setting up rooms for staff trainings.
  • Distributes mail to mailboxes and manages outgoing mail.
  • Orders and maintains supplies such as envelopes, mailing materials, and stationery.
  • Schedules use of conference room(s).
  • Manages team appointments/schedules; prepares standard reports as directed by RC Management Team.
  • Attends Staff Meetings, takes minutes.
  • Logs Events, Performance Measure information, or metrics as directed by RC Management Team.
  • Promotes engagement, trauma informed and person served service delivery, strengths based, person first language, for all PS.
  • Promotes healthcare, employment and education services access for PS.
  • Performs other administrative support tasks such as typing correspondence, preparing spreadsheets, recording meeting minutes, and interacts with vendors such as food suppliers and cleaning team as directed.
  • Performs other related duties, as assigned.
