About The Position

The Administrative Assistant Professional supports UW–Green Bay’s mission to expand access to high-quality, lifelong learning across Northeast Wisconsin. Located within the Division of Continuing Education and Workforce Training, this role helps advance the University’s strategic priorities by ensuring professional development programs, trainings, and events are delivered smoothly, efficiently, and with a strong focus on service. Guided by UW–Green Bay’s core values and brand promise— Together, We Rise —this position contributes to a collaborative, learner-centered environment that empowers individuals and strengthens communities. This position provides essential administrative, financial, and operational support, including managing registrations, processing financial transactions, coordinating instructors, supporting program logistics, and delivering excellent customer service. The ideal candidate is highly organized, detail-oriented, and comfortable balancing multiple priorities in a fast-paced setting, while embracing challenges, building community, and supporting access to lifelong learning opportunities.

Requirements

  • Associate's degree
  • 1 year of professional experience
  • Strong written communication and administrative skills with a high level of detail
  • Excellent customer service and relationship-building skills
  • High level of computer proficiency and ability to use database, spreadsheet, web conference, presentation, and word processing software applications
  • Ability to work effectively as a team and independently in a high-volume work setting
  • Must be self-motivated and able to work independently to complete projects
  • A valid Wisconsin driver’s license and a working vehicle to travel and ability to obtain driver authorization through the University

Responsibilities

  • Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures
  • Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
  • Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • Serves as a primary point of contact for individuals and groups, provides organizational information via phone, in person, and through other communication mediums
  • Prepares and audits complex records, edits documents, and reviews work done by others

This includes 9 legal holidays, 36 hours of personal holiday and between 96-130 hours of sick leave annually and paid parental leave. Eligible employees earn 13-27 days of vacation each year, depending on years of service and employment type.
