The Administrative Assistant - Inside is responsible for providing comprehensive administrative support to ensure efficient operation of the office. This role involves handling a variety of tasks, including managing communications, scheduling, and coordinating office activities, to support the team and contribute to the organization's success. Requirements

  • High school diploma or equivalent; additional qualifications in office administration are a plus.
  • Minimum of 2 years of experience in an administrative or office support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
  • Strong organizational and multitasking abilities, with attention to detail and accuracy.
  • Excellent verbal and written communication skills, with a professional and courteous demeanor.
  • Ability to prioritize tasks and manage time effectively to meet deadlines.
  • Strong problem-solving skills and the ability to work independently and as part of a team.
  • Demonstrated ability to provide high-quality customer service and handle inquiries professionally.
  • Flexibility to adapt to changing priorities and handle multiple tasks simultaneously.
  • Ability to handle sensitive information with discretion and maintain confidentiality.

Responsibilities

  • Handle incoming and outgoing communications, including phone calls, emails, and mail, ensuring timely and accurate responses.
  • Manage calendars, schedule meetings, and coordinate appointments for team members.
  • Assist in keeping accurate inventory through owning the cycle count process, production entry, and sub inventory transfers in Oracle.
  • Prepare and edit documents, reports, and presentations, ensuring accuracy and professionalism.
  • Enter and update data in various systems and databases, maintaining accurate records.
  • Assist in planning and organizing company events, meetings, and conferences.
  • Provide excellent customer service to internal and external stakeholders, addressing inquiries and resolving issues promptly.
  • Maintain electronic and physical filing systems, ensuring documents are easily accessible and securely stored.
  • Perform general administrative tasks such as photocopying, scanning, and faxing documents.
  • Assist with special projects and tasks as assigned by management.
