This position is crucial to the pre-installation preparation process at Groundworks.

Requirements

  • High School Degree/GED
  • 1-2 years Administrative Assistant experience preferred
  • Previous call center or customer service preferred
  • Must be positive and motivated with excellent communications skills
  • Ability to adapt quickly to changes in work strategy
  • Excellent computer skills
  • Great oral and verbal communication

Responsibilities

  • Research project locations to determine the correct permitting jurisdiction and municipality requirements
  • Prepare, submit, track, and manage permit applications from start to completion
  • Open and close permits in accordance with local municipality guidelines and company procedures
  • Schedule and coordinate required inspections for active construction projects
  • Monitor inspection outcomes and follow up with municipalities to ensure timely approvals and closures
  • Communicate inspection results to internal teams and coordinate corrective actions when needed
  • Partner with engineering teams to obtain required plans, drawings, and supporting documentation for permit submittals
  • Maintain accurate permit records, documentation, and status updates for project tracking and reporting
  • Serve as the primary point of contact between municipalities, inspectors, and internal project teams
  • Ensure compliance with permitting deadlines, regulations, and project timelines
  • Update customer records to ensure accuracy and completeness of project and permit information
  • It is an essential function of this position that the employee regularly and reliably reports to work on time each working day
