About The Position

The Administrative Assistant will provide comprehensive administrative and organizational support to the General Counsel and the in-house legal department. This role is critical to ensuring efficient operations, accurate document management, and timely preparation of legal materials. The ideal candidate is detail-oriented, highly organized, and able to handle confidential information with discretion.

Requirements

  • Associate’s degree or equivalent experience; Bachelor’s degree preferred.
  • 2+ years of administrative experience, preferably in a law firm or in house legal department
  • Proficiency in Microsoft Office Suite and document management systems.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to prioritize tasks and manage multiple deadlines.
  • Discretion and integrity in handling confidential information.
  • Strong interpersonal skills and ability to work collaboratively.
  • Adaptability and problem-solving in a fast-paced environment.

Nice To Haves

  • Familiarity with legal terminology and document formats is a plus.

Responsibilities

  • Maintain and organize physical and electronic legal files in compliance with company policies.
  • Ensure proper version control and secure storage of sensitive documents.
  • Upload/index documents into the company’s document management system(s).
  • Monitor and maintain accurate electronic filing structures for easy retrieval.
  • Draft, format, and proofread correspondence, agreements, and other legal documents.
  • Prepare meeting materials, presentations, and reports as requested by the General Counsel.
  • Manage calendars, schedule meetings, and coordinate travel arrangements for the General Counsel.
  • Handle incoming communications, including emails and calls, with professionalism and confidentiality.
  • Assist with invoice processing and expense reporting for the legal department.
  • Ensure all activities adhere to legal and corporate compliance standards.
  • Maintain strict confidentiality regarding sensitive legal matters and company information.
