About The Position

The Administrative Assistant Lead at the Weldon School of Biomedical Engineering serves as a key operational leader, providing advanced administrative support and overseeing daily workflows that are critical to the school's academic, research, and outreach missions in West Lafayette and Indianapolis. This position is responsible for coordinating complex tasks, coordinating meetings with various faculty, staff, students, and constituents, conducting research and preparing reports, drafting and editing correspondence, maintaining financial processes and records (including Purchasing Card checkouts, reconciliations, travel arrangements, reimbursements, and invoice processing), and ensuring the smooth execution of departmental processes. The role requires knowledge of administrative systems and the ability to solve complex, non-routine problems that span multiple functional areas. The position also plays a vital role in supporting the Administrative Manager with the creation, dissemination, and execution of processes and policies, as well as evaluating for effectiveness and simplicity. Through effective communication, process improvement, and operational leadership, the Administrative Assistant Lead helps maintain the Weldon School's reputation for excellence and supports its continued growth and innovation. Requirements

  • High school diploma/GED
  • Minimum of two (2) years of experience in an administrative support role
  • Administrative and operational skills
  • Problem solving and critical thinking
  • Communication and interpersonal skills
  • Project and event coordination
  • Technical proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, etc.)
  • Discretion and confidentiality

Responsibilities

  • Provide day-to-day administrative tasks, including assisting with meeting coordination and scheduling, special projects and events, PIs with needs for labs and special programs/projects, researching and drafting reports and correspondence, Concur/travel assistance, managing existing and ordering parking passes, assisting with financial processes and documents such as checking out Purchasing Cards, processing invoices, and personal reimbursements
  • Support the Weldon School of Biomedical Engineering as the first point of contact for assisting guests, alumni, faculty, students, and staff with day-to-day inquiries, problem-solving, and finding solutions to problems that arise
  • Providing backup to the Administrative Manager, Academic Administrative Assistant, and Program Administration Specialist in Indianapolis
