The state supported living centers serve people with intellectual and developmental disabilities who are medically fragile or who have behavioral problems. The centers provide campus-based direct services and supports at 13 centers located throughout the state. Under the supervision of the Assistant Director of Programs of the Lubbock State Supported Living Center, the Administrative Assistant performs complex (journey-level) administrative support or technical program assistance work. Work involves disseminating information, maintaining filing systems, and performing internal administrative support work. May train others. Works under general supervision with moderate latitude for the use of initiative and independent judgment. Maintains excellent communication with internal and external agencies, including State Office.

Requirements

  • Knowledge of office practices and administrative procedures.
  • Skill in standard office equipment and software.
  • Ability to implement administrative procedures; to interpret rules, regulations, policies, and procedures.
  • Ability to communicate effectively, in person and over the phone.
  • Ability to type at least 60 words per minute.
  • Ability to maintain confidentiality.
  • Graduation from a standard high school or equivalent, plus 2 years’ experience working for senior level management in an administrative support position.
  • Attention to detail shown by completion of application.
  • Experience in the use of standard office equipment (personal computer, printer, telephone, fax, copier).
  • Experience in the use of MS Word, Excel, & Outlook.
  • Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS List of Excluded Individuals/ Entities (LEIE).
  • Males between the ages of 18 – 25 must be registered with the Selective Service.
  • All State Supported Living Center Employees are subject to Random Drug Testing.
  • Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Must be willing to work weekends and holidays.
  • All applicants must be at least 18 years of age to be considered for employment at a state-operated facility.

Responsibilities

  • Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
  • Maintains effective working relationships with internal and external customers.
  • Maintains filing, record-keeping, and records management systems.
  • Performs general office duties such as ordering supplies, taking meeting minutes, and assisting with confidential human resources work.
  • Responds to inquiries regarding rules, regulations, policies, and procedures.
  • Plans meetings, conferences, and seminars.
  • Participates in the planning and execution of an agency program.
  • Works closely with the Assistant Director of Programs and Director of Residential Services regarding Level of Supervision Committee.
  • Assists in the development of administrative or technical assistance policies and procedures.
  • Answers phone calls, routing incoming calls, taking messages, greeting visitors, and directing visitors to the appropriate staff.
  • May research, compose, design, or edit agency publications such as brochures, forms, and manuals.
  • May develop training materials.
  • Serves as back up to the Director and Assistant Director of Administration’s Administrative Assistants.
  • Manages and maintains schedule and travel arrangements for Assistant Director of Programs.
  • May train others.
  • Performs related work as assigned.
  • Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
