About The Position

The UCF College of Engineering and Computer Science is a large producer of engineering and technology workforce talent, particularly for the defense and aerospace industries, offering over 40 degree and certificate programs. The Administrative Assistant III supports the Director of UCF Coastal (National Center for Integrated Coastal Research) by coordinating the Center's daily activities. Key responsibilities include managing the Director’s calendar, scheduling meetings, and organizing logistics for seminars, workshops, and events, such as room bookings and catering. The role also involves maintaining the Center’s website and social media, developing quarterly newsletters to promote UCF Coastal’s activities, managing UCF expense cards, assisting with event organization for collaborations, and supporting reporting requirements for the Faculty Cluster Initiative. This position demands strong organizational, communication, and digital skills, with the ability to manage multiple priorities and contribute to the Center's strategic growth and visibility. This is a time-limited funded position, and employment is contingent upon funding availability.

Requirements

  • High School Diploma or Equivalent and 4+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

  • Experience maintaining organizational websites and social media platforms using web-based tools or content management systems.
  • Working knowledge of financial or purchasing processes, including expense cards, purchase requisitions, and expenditure tracking.
  • Excellent organizational, interpersonal, and time-management skills, with strong attention to detail and the ability to collaborate with internal and external partners.

Responsibilities

  • Manage the Center Director's Calendar, schedule meetings, correspondence, and assist in coordinating Center activities.
  • Schedule, plan, and follow up on event logistics, to include room bookings, catering, seminars, and workshops.
  • Manage the Center's communications, including social media management, website maintenance, and create/distribute Center newsletters.
  • Perform basic financial administration for expense cards, tracking, and processing purchase requisitions.
  • Perform general reporting and administrative support functions such as Faculty Cluster Initiative reporting, metrics, and project reporting.
  • Manage the Center's collaboration and relationship building, such as organizing partnership events, community outreach, and all other duties as assigned.
