About The Position

The Administrative Specialist III reports to the Executive Director of Business and Industry Center and is responsible for receptionist and clerical duties, coordinating office activities, preparing special reports, maintaining class files, performing general purchasing and human resource duties, maintaining schedules, calendars, and rental agreements, overseeing the inventory and M&R process, and developing, revising, and recommending administrative policies and procedures as directed by supervisor. This position is governed by state and federal laws and agency policy. Provides receptionist duties including answering the phone and front-line customer service. Performs clerical duties including typing staff meeting minutes, assisting the staff as needed, printing certificates, assisting the instructional staff with printing, binding and other class preparation services. Creates all class files including registration information, evaluation forms, grant forms, student sign-in sheets and other documents required. Maintains a variety of data files and records for the center including all workforce education reporting which includes courses offered, financial records, attendance sheets, class schedules, and other required data. Performs general purchasing duties including completion and coordination of vendor set up, requisitions, invoicing, receiving and other duties. Performs general human resource duties including completion of supplemental contracts, concurrent employment forms, and other duties. Maintains master calendar for the center and utilizes the data to develop the security schedule. Oversees the M&R process for the center creating a spreadsheet for items that are no longer in use. Maintains a neat and clean work environment, professional appearance, communication, and attitude. Other duties as assigned.

Requirements

  • The formal education equivalent of a high school diploma; associate degree preferred.
  • Excellent computer skills to include Microsoft Office Suite; Word, Excel, Outlook
  • Excellent interpersonal and communication skills.
  • Dependability, reliability, punctuality and confidentiality are essential.
  • Accuracy, independent judgment, decision-making and problem-solving skills.
  • Must be a self-starter and willing to take initiative to learn new areas of information.
