About The Position

Performs complex administrative support work. Work involves providing administrative support including disseminating information; assisting with maintaining filing systems; preparing and editing reports and documents; and providing guidance to others. Works under general supervision with moderate latitude for the use of initiative and independent judgment.

Requirements

  • Graduation from an accredited senior high school or equivalent or GED.
  • Two years full-time, wage-earning customer service, clerical, secretarial, administrative support, technical program support, or criminal justice experience. Fifteen semester hours from a college or university accredited by an organization recognized by the Council for Higher Education Accreditation (CHEA) or by the United States Department of Education (USDE) may be substituted for each six months of experience.
  • Must have or be able to obtain a certificate of course completion for the Texas Law Enforcement Telecommunications System (TLETS) policy and procedures training from the Texas Department of Public Safety within six months of employment date.
  • Must meet and maintain TLETS access eligibility for continued employment in position.
  • Knowledge of office practices and procedures.
  • Knowledge of business terminology, spelling, punctuation, and grammar.
  • Skill to communicate ideas and instructions clearly and concisely.
  • Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
  • Skill to interpret and apply rules, regulations, policies, and procedures.
  • Skill in problem-solving techniques.
  • Skill in the use of computers and related equipment in a stand-alone or local area network environment.
  • Skill to prepare and maintain accurate records, files, and reports.
  • Skill to review technical data and prepare technical reports.
  • Skill in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs.
  • Skill to train others.
  • Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, climb stairs, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry under 15 lbs., perceive depth, operate a motor vehicle, and operate motor equipment.

Nice To Haves

  • Experience in inmate classification preferred.
  • Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred.
  • Skill to type 45 words per minute (with no more than 10 errors) preferred.

Responsibilities

  • Participates in the planning and execution of agency programs; assists in the development of administrative and technical assistance policies and procedures and in analyzing and seeking solutions to problems; and responds to inquiries regarding rules, regulations, policies, and procedures.
  • Prepares, edits, and distributes correspondence, reports, forms, and documents; coordinates the processing of inmate-related documents; and develops, coordinates, and maintains filing, record keeping, and records management systems.
  • Prepares, interprets, and disseminates information concerning agency programs and procedures; and provides liaison with program staff, other departments, organizations, and local, state, and federal law enforcement and corrections agencies.
  • Performs criminal information searches and retrieval using Texas Department of Public Safety criminal history system access.
  • Trains others and provides technical assistance in the program area.
  • Performs a variety of marginal duties not listed, to be determined and assigned as needed.
