Essential Duties Ensures the accuracy, completeness, and timely submittal of all required contracts, renewals, reports, purchase orders, and service desk tickets. Manages the service desk ticket board. Maintains project records; scans documents and files electronically; files paper copies as needed, ensures proper storage of documentation Schedules and leads meetings as well as coordinates and implements various project activities Research, analyze data and prepare specifications for contract labor and services. Prepares, coordinates and maintains purchase requests and purchase orders. Coordinates various contracts, procurement and warranty process, and the construction bidding process. Coordinate access control vendor and tenant background check; maintain spreadsheet. Prepare capital work orders for multi-crew projects and prepare for signature. Performs other duties and responsibilities as assigned.

Requirements

  • Ability to prepare documents and files for dissemination to external sources.
  • Knowledge of program management and development procedures.
  • Knowledge of bookkeeping and budgeting processes.
  • Ability to analyze situations and make decisions in accordance with policies and procedures.
  • Strong project coordination, presentation, and meeting facilitation skills.
  • Strong computer skills with working knowledge of DocuSign, Teams, OneDrive, Excel, Word, Outlook, and aptitude to learn other software programs as required for this position.
  • Ability to plan, coordinate, and prioritize assignments and workload.
  • Ability to work independently and manage multiple priorities while maintaining a positive environment.
  • Excellent communication and leadership skills.
  • High school diploma or equivalent required.
  • Minimum 5 years of office management experience.
  • Valid Oklahoma driver’s license, or the ability to convert within 90 days for those with an out of state driver’s license that are an Oklahoma resident.
  • Obtain a Certified Procurement Officer Certificate within the first 30 days of employment.
  • Must be able to handle weights up to 25 lb. on an infrequent basis.

Nice To Haves

  • Not required, but helpful, knowledge and ability to use AutoCAD.
  • Associate’s degree in Business Administration or other related field preferred.
