About The Position

This position is the assistant to the Bureau Chief of Personnel Management and acts as office manager for the Bureau of Personnel Management. The person in this position is expected to perform highly responsible administrative work as related to the statutory regulations of the education profession in the State of Florida. This position requires excellent communication skills in dealing with the public, appointed commissioners, and members of both the legal and educational professions. Our administrative positions will give you experience in state-related programs such as MyFloridaMarketPlace/Ariba, STMS, and WORKS. You will be immersed in the Division of Administrative Hearings cases while tracking and providing updates to the Executive Director. This is a great opportunity for someone highly organized, detail-oriented, and can communicate effectively.

Responsibilities

  • Provides executive support to the Inspector General and staff and oversees the general office administration of the Office of Inspector General.
  • This position has expanded access to information and reports in the People First System. This access must be used for business purposes only. The incumbent must always maintain confidentiality of this information.
  • Responsible for answering the primary OIG phone line and routing callers within the OIG and throughout the DOE, addressing difficult calls with patience and professionalism.
  • Routes and tracks all OIG correspondence requiring the Commissioner’s signature.
  • Responsible for processing personnel, procurement, and travel transactions and serves as liaison from the Office of Inspector General to the Department of Education personnel, procurement, and travel sections.
  • Assists in daily processing of routine mail, including preparing, screening, stamping, and disseminating to staff.  This position answers and directs telephone calls to appropriate staff as required.
  • Functions as Office Training Liaison, including procuring specialized CPE training for Auditors and Investigators and maintaining employee training records.
  • Compiles findings and recommendations from audit reports issued by either the Auditor General or the Chief Internal Auditor from the current fiscal year and the previous fiscal year, summarized in Schedule IX, and submitted as part of the standard final Legislative Budget Request.
  • Maintains adequate inventory of office supplies for the office and serves as the central point of contact between the Custodian Delegate and Inventory Agent within the Office of Inspector General.
  • Performs other related duties as assigned.
