About The Position

The Administrative Assistant III position will provide a high level of administrative support for the designated department. This role supports the functional area in preparing and distributing agendas for various boards and commissions, taking and preparing detailed meeting minutes, posting and tracking legal notices, typing and compiling reports and correspondence, maintaining consistency in processes, and billing for services. This role supports and completes research and/or special projects, maintains data in organizational systems, files documents, answers telephones, and responds to internal and external customers.

Requirements

  • High school diploma.
  • Three (3) to five (5) years of administrative support experience with increased responsibility.
  • Possession of a valid driver’s license.
  • OR Any combination of related education, experience, certifications, and licenses that will result in a candidate successfully performing the essential functions of the job.
  • Intermediate knowledge of Microsoft Office Suite and computer skills including word processing and spreadsheet programs.
  • Advanced proofreading skills and detail-oriented focus.
  • Knowledge of business office functions.
  • Advanced customer service and interpersonal skills both in person and on the telephone.
  • Advanced use and understanding of proper grammar, spelling, and punctuation.
  • Ability to apply general knowledge of procedures, practices, or operations.
  • Ability to communicate effectively, both verbally and in writing.
  • Ability to enter and manipulate data using a personal computer.
  • Ability to operate standard office equipment.
  • Ability to work independently and in groups.
  • Ability to perform multiple tasks and meet deadlines under pressure.

Responsibilities

  • Work with vendors.
  • Provide customer and staff support.
  • Order departmental supplies.
  • Track, monitor, and pay departmental invoices.
  • Coordinate deliveries and orders with vendors.
  • Coordinate all aspects of special events and remain on budget.
  • Prepare packets, forms, and other documentation for distribution.
  • Coordinate calendars and schedule meetings.
  • Perform other duties as assigned.
