About The Position

Performs complex administrative support work. Work involves providing administrative support including disseminating information; assisting with maintaining filing systems; and preparing and editing reports and documents. Works under general supervision with moderate latitude for the use of initiative and independent judgment.

Requirements

  • Bachelor's degree from a college or university accredited by an organization recognized by the Council for Higher Education Accreditation (CHEA) or by the United States Department of Education (USDE). Major course work in Business Administration, Management Information Systems, Public Administration, or a related field preferred. Each year of experience as described below in excess of the required one year may be substituted for thirty semester hours from an accredited college or university on a year-for-year basis.
  • One year full-time, wage-earning clerical, secretarial, administrative support, or technical program support experience.
  • Knowledge of office practices and procedures.
  • Skill to communicate ideas and instructions clearly and concisely.
  • Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
  • Skill to interpret and apply rules, regulations, policies, and procedures.
  • Skill in administrative problem-solving techniques.
  • Skill in the use of computers and related equipment in a stand-alone or local area network environment.
  • Skill to prepare and maintain complex records and files in an automated system.
  • Skill in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs.
  • Ability to maintain the security and integrity of critical infrastructure as it is defined by the state.

Nice To Haves

  • Experience in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs preferred.
  • Knowledge of accounting principles and practices preferred.
  • Knowledge of applicable state and federal laws, rules, regulations, and statutes preferred.

Responsibilities

  • Performs technical assistance work for the agency Data Management department; participates in the planning and execution of the department’s programs; assists in the development of administrative and technical assistance policies and procedures; and compiles and enters data, makes calculations, and prepares reports.
  • Prepares, edits, and disseminates information concerning programs and procedures; prepares and distributes correspondence, reports, studies, forms, and other documents; maintains filing, record keeping, and records management systems; and performs timekeeping for support staff.
  • Responds to inquiries regarding rules, regulations, policies, and procedures; provides information and assistance regarding program areas; and coordinates training presentations.
  • Provides system support to unit personnel and agency staff; and manages security access and passwords.
  • Plans meetings, conferences, and seminars; makes travel arrangements; and prepares travel vouchers and other related documents.
  • Performs a variety of marginal duties not listed, to be determined and assigned as needed.
