About The Position

ChristianaCare is seeking a full-time Administrative Assistant III to provide support to the Department of Anesthesia. This role encompasses scheduling, clerical duties, supply management, file maintenance, and both verbal and written communication. The ideal candidate will be well-organized, detail-oriented, and capable of multitasking, completing tasks and duties within prescribed timelines. Proficiency in computer skills and strong verbal and written communication abilities are essential. The position is located at Christiana Hospital in Newark, Delaware, a modern 1,007-bed facility that provides a high level of care, including Delaware's only Level-I Trauma center.

Requirements

  • High School graduate/GED, or equivalent
  • Two years training in Business program or two years of college required
  • Four years of prior administrative support experience required
  • Knowledge of Kronos
  • Knowledge of medical terminology and computer proficiency
  • Skill in the use of Microsoft Office software
  • Knowledge of Department of Anesthesia business flow
  • Knowledge of appropriate chain of command
  • Knowledge of CCHS Core Values and departmental policies/procedures
  • Demonstrate computer skills and the ability to use various software applications
  • Effectively problem solves technical issues and applies effective decision-making techniques

Responsibilities

  • Completes daily Operating Room staffing schedules
  • Process and submit purchases, monitors projects, including computer and furniture/equipment/supplies, etc.
  • Coordinates with the Chief CRNA to create and communicate weekly in-service information to all sites
  • Maintains and updates the Department of Anesthesia's policies and procedures
  • Provide support & training to existing staff members
  • Provides administrative support for the onboarding process and orientation for new staff
  • Organizes and attends workshops related to staff CEUs or education for entering credits in the AANA systems for nurse anesthetists
  • Receives and processes the outside requests from health professionals, physicians, PCOM, EM/FM residents
  • Maintains efficient project file system
  • Transcribes dictated letters, reports, and other documents
  • Responsible for all aspects of administrative support for the Anesthesia Department Chair, ASPA staff, and management team, including calendar management, scheduling meetings, resource scheduler use, and meal catering for meetings, etc.
  • Opens, sorts, and distributes all incoming mail; date stamps all incoming correspondence and official documents
  • Performs computer skills needed with all types of software utilized in Anesthesia Services, including Microsoft Office, Surginet, and SA Anesthesia
  • Maintains all personnel files in accordance with records retention requirements
  • Assures all documentation necessary for TJC and various regulatory agencies is available
  • Effectively communicates with all levels within the Department of Anesthesia and other stakeholder groups, utilizing both written and verbal communication skills
  • Works constructively with other members of the team and maintains an attitude of helpfulness, courtesy, and cooperation towards others
  • Maintain basic operations of office equipment and aids to resolve problems related to computers or equipment (i.e., paper jams, fax/printing, vocera), etc.
  • Provides support for department Nurse Coordinators, to schedule meetings and update calendars, arrange rooms, catering and equipment needs
  • Process all reimbursement checks, purchase orders, and submissions for payments
  • Performs assigned work safely, adhering to established departmental safety rules and practices; reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors
