About The Position

The College of Southern Nevada (CSN) invites applications for the position of Administrative Assistant II within the Disability Resource Center (DRC). This is a full-time, 12-month, benefits-eligible role reporting directly to the campus Senior Associate, ADAAA. The successful candidate will provide essential administrative support with a dedicated student-centric focus, serving as the primary point of contact for the DRC. This role requires exceptional customer service, the ability to manage multiple priorities, and a collaborative mindset. The ideal candidate will demonstrate empathy, active listening, and a commitment to accountability while navigating CSN policies to support students, faculty, and staff. Requirements

  • Must possess superior written, oral, and interpersonal communication skills, with a proven track record of providing inclusive, empathetic, and student-centered service.
  • Proactive problem solving abilities within high-traffic, fast-paced environments.
  • Exceptional aptitude for quickly mastering and applying complex institutional policies, academic regulations, and departmental workflows.
  • Professional experience or strong sensitivity in interacting with diverse populations.
  • Advanced command of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Highly developed time-management and organizational skills, with a focus on accuracy, detail, and process improvement.
  • Demonstrated expertise in handling highly sensitive information in accordance with HIPAA, FERPA, and other applicable federal, state, local, and county mandates.
  • Proven experience utilizing case management software (e.g., AIM) and student information systems (e.g., Banner, PeopleSoft) to maintain accurate and secure student records.
  • Graduation from high school or equivalent education and two years of clerical and administrative support experience which included experience in one or more of the following areas: maintaining records and files; preparing a variety of materials using a personal computer or word processor; assisting customers in completing forms and applications; and/or performing secretarial duties in support of professional staff; OR one year of experience as an Administrative Assistant I in Nevada State service; OR an equivalent combination of education and experience as described above.

Nice To Haves

  • Experience supporting a diverse student body and workforce, with an understanding of the unique needs of individuals within a higher education or accessibility-focused setting.
  • Proven skill in managing complex personnel and student records while strictly adhering to privacy regulations (like FERPA and HIPAA).
  • Experience navigating HRIS platforms (Workday, PeopleSoft, Banner, etc.) to manage personnel actions and departmental workflows efficiently.
  • One year of experience in a human services or mental health related field.
  • One year of administrative experience, preferably within a high-traffic educational or clinical setting.

Responsibilities

  • Reports directly to the Senior Associate, ADAAA.
  • Assists the DRC Manager, Senior Associates, and DRC team with operational and administrative tasks to ensure efficiency.
  • Provides functional supervision, training, and workflow coordination for work-study students, student employees, and/or part-time workers.
  • Manages daily reception duties, including answering multi-line telephones, responding to emails, and routing inquiries to appropriate staff members.
  • Maintains strict adherence to FERPA, HIPAA, ADA(AA) and institutional policies regarding sensitive student data, information, and accommodations.
  • Delivers “high-touch” customer service to a diverse population, serving as a primary point of contact and information for students, faculty, staff, and the public.
  • Assists with alternative testing logistics and front desk operations in alignment with academic integrity standards; assists with student check-ins and exam scheduling.
  • Demonstrates strong multi-tasking, time-management, and organizational skills, with the ability to prioritize high-volume workloads and maintain meticulous attention to detail in a fast-paced environment.
  • Maintains regular and consistent attendance.
  • Cultivates a welcoming environment for individuals with diverse backgrounds and abilities while utilizing empathy, active listening, professionalism, and accountability when assisting students, faculty, staff, and the public.
  • Works collaboratively as part of the DRC team and assists with special projects as assigned.
  • Performs other related duties as assigned.
