About The Position

We are seeking a reliable, customer-focused Administrative Assistant II for a full-time, 100% onsite role in Arizona, with the potential to transition to a permanent full-time employee (FTE). Reporting to the Support Services Manager, this position plays a key role in maintaining smooth front desk operations and delivering exceptional customer service across all Arizona departments. Primary responsibilities include managing warrant distribution, monitoring and responding to shared inbox requests, greeting and directing visitors and vendors, accepting legal documents such as garnishments, handling internal and external phone calls and voicemails, processing and tracking incoming/outgoing mail and packages (including confidential items), and providing backup administrative support and project assistance as needed. Candidates should have 2-3 years of client-facing or front desk experience, strong communication and multitasking skills, and reliable attendance and transportation, as this is an essential role. Comprehensive training on front desk procedures will be provided, and candidates must be available for a virtual interview within 2 days of submission. Requirements

  • 2-3 years of client-facing or front desk experience.
  • Strong customer service orientation with excellent communication skills.
  • Proficiency in managing shared inboxes, phone systems, and mail distribution.
  • Ability to multitask in a fast-paced environment while maintaining attention to detail.
  • Reliable attendance and transportation (essential personnel role supporting all AZ departments).
  • Background check required

Responsibilities

  • Manage the warrant distribution process, including handling returned Warrants of Payment.
  • Monitor and respond promptly to department requests via a shared inbox.
  • Serve as the primary front desk point of contact: greet and screen visitors, customers, and vendors, directing them to the appropriate staff.
  • Act as the division's designated recipient for legal documents, including garnishments and service of legal process.
  • Answer incoming internal and external phone calls, provide accurate information, address inquiries, and resolve complaints efficiently; review and respond to all voicemail messages daily.
  • Receive, sort, scan, and distribute incoming mail and packages (including confidential items and ACH applications); prepare and send outgoing mail, while tracking correspondence daily.
  • Provide backup support on administrative projects and offer general administrative assistance to staff and management as needed.
