About The Position

Positions in this job family are assigned responsibilities for providing administrative support to program areas. Provide direct administrative and operational support to the Oklahoma First Responder Wellness Division. This position ensures efficient day to day operations, supports leadership, coordinates communication, and assists in the delivery of wellness services to first responders across the State of Oklahoma. The role is critical to maintaining organization, responsiveness, and professionalism in support of the division's mission.

Requirements

  • Knowledge of spelling, punctuation, and business English
  • Knowledge of business mathematics
  • Knowledge of modern office methods and procedures
  • Knowledge of establishing and maintaining records
  • Knowledge of major policies and procedures governing assigned programs.
  • Strong organizational and time management skills with attention to detail.
  • Ability to communicate clearly and professionally both in writing and verbally.
  • Working knowledge of Microsoft Office applications including outlook, Word, Excel, and Teams.
  • Ability to manage multiple priorities in a past paced environment.
  • Bachelor’s degree plus one year of technical clerical, administrative, secretarial, or general office work, or an equivalent combination of education and experience. High school diploma or equivalent required.
  • Minimum of two years of administrative or office support experience required
  • Ability to pass a background check.
  • Valid driver license.
  • Ability to travel occasionally within the State of Oklahoma.
  • Availability to support occasional after hours events or critical incidents as needed.
  • Ability to maintain professionalism in high stress or sensitive situations.

Nice To Haves

  • Preferably in a government, public safety, or healthcare environment preferred.
  • Experience supporting leadership or executive level staff is preferred.
  • Experience with state systems, purchasing processes, or financial tracking is a plus.

Responsibilities

  • Manage daily administrative operations including scheduling, correspondence, and document preparation.
  • Coordinate meetings, trainings, and events with internal staff, partner agencies, and external stakeholders.
  • Serve as a point of contact for incoming communication and ensure timely and professional responses.
  • Assist with tracking budgets, purchase card usage, and basic financial documentation in coordination with appropriate personnel.
  • Maintain organized records, files, and reporting systems in compliance with state requirements.
  • Support program logistics including travel coordination, training materials, and event setup.
  • Assist leadership with special projects, presentations, and reports.
