About The Position

The Firearm Eligibility bureau (FEB) is looking for a highly organized Administrative Assistant to support the Firearm Purchase Program (FPP) and the Eligibility Research Unit (ERU). The role involves managing daily administrative tasks, providing support to management, and ensuring smooth communication within the bureau, the Florida Department of Law Enforcement (FDLE), and with the public.

Requirements

  • Knowledge of the methods of data collection
  • Knowledge of basic arithmetic
  • Ability to understand and apply applicable rules, regulations, policies and procedures
  • Ability to deal with the public in a tactful and courteous manner

  • Ability to utilize problem solving techniques
  • Ability to establish and maintain effective working relationships with others

Responsibilities

  • Assisting supervisors and staff with administrative and secretarial support and preparing correspondence and reports, including preparation of appeal letters
  • Reviewing correspondence and reports to ensure proper accuracy, spelling, grammar, and Departmental guidelines
  • Assisting supervisors with scheduling meetings and finding available conference rooms
  • Renewing maintenance contracts for equipment. Obtaining quotes and purchasing equipment for the section
  • Performing quarterly property inventory and maintaining accurate records of inventory including surplus inventory requests from the section
  • Prioritizing workload through planning, organizing, and coordinating with supervisors
  • Providing secretarial and clerical support to the section supervisors and staff
  • Answering and screening incoming phone calls and routing them to appropriate staff
  • Responding to routine customer requests for information and/or assistance by close of next business day, and ensuring responses are current and accurate.
