About The Position

This position involves performing routine administrative support work, including compiling and tabulating data, checking documents for accuracy, transporting documents, and maintaining files. The role operates under moderate supervision with limited latitude for initiative and independent judgment. Key duties include preparing and proofing various documents such as correspondence, inventory documents, manuals, purchase orders, records, reports, requisitions, summaries, and related forms. The assistant will also post information to agency records and modify forms. A significant part of the role involves assisting with inventory, which includes picking up, delivering, and unloading supplies, equipment, and materials; receiving, storing, and issuing stock items; inspecting merchandise for quality and compliance; and reconciling inventory reports. Additionally, the position requires compiling, organizing, and tabulating data, performing calculations, data entry and retrieval, making adjusting entries, and handling mail (opening, sorting, logging, and distributing). The administrative assistant is also responsible for filing and maintaining supplies, forms, records, and reports, and making copies.

Requirements

  • Graduation from an accredited senior high school or equivalent or GED
  • One year full-time, wage-earning customer service, clerical, secretarial, administrative support, or technical program support experience (Fifteen semester hours from a college or university accredited by an organization recognized by the Council for Higher Education accreditation (CHEA) or by the United States Department of Education (USDE) may be substituted for each six months of experience)
  • Knowledge of office practices and procedures
  • Knowledge of business terminology, spelling, punctuation, and grammar
  • Skill to communicate ideas and instructions clearly and concisely
  • Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public
  • Skill to interpret and apply rules, regulations, policies, and procedures
  • Skill to prepare and maintain complex records and files in an automated system
  • Skill to make arithmetic computations
  • Skill in the use of computers and related equipment in a stand-alone or local area network environment

Nice To Haves

  • Computer operations experience preferred
  • Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred
  • Skill to operate a 10-key calculator by touch preferred
  • Skill to type 45 words per minute (with no more than 10 errors) preferred
