Now, the Neurological Institute is expanding with a new state-of-the-art facility which will include additional operating rooms and ambulatory, infusion, imaging, EMG and sleep and brain study services. The Administrative Assistant II provides high-level administrative support to six nursing leaders and serves as the primary point of contact for the Hiring Manager. This role requires exceptional professionalism and discretion, as the individual will regularly interact with physicians, executive assistants, and senior leadership. The ideal candidate is highly organized, proactive, and comfortable serving as a trusted partner who keeps operations running smoothly in a fast-paced healthcare environment. Key responsibilities include managing complex calendars and meetings, preparing agendas, tracking action items, handling calls and emails, and drafting memos and presentations. The Administrative Assistant II must maintain strict confidentiality, including patient information and sensitive documents, while exercising sound judgment in all communications. This role also coordinates training and in-services, manages travel arrangements, orders office supplies, tracks inventory, and collects and compiles data to support quality improvement initiatives. Additional support may be provided to nurse managers as needed. A caregiver in this position works full – time| 40 hours| days| M-F| 8:00am – 5:00pm (flexible).

Requirements

  • High School Diploma or GED
  • Three years of office experience
  • Experience using Microsoft Office Suite products (Outlook, Word, Excel, and Power Point)

Nice To Haves

  • Associate’s Degree
  • Typing proficiency of 35 wpm with accuracy
  • Fluency in Microsoft Office (with strong proficiency in Word, Excel, and PowerPoint)

Responsibilities

  • Manage and prioritize multiple assignments simultaneously and effectively.
  • Act as a liaison between internal and external customers by greeting customers, answering, and triage phone calls.
  • Administer calendar and schedule management.
  • Compose and prepare a variety of correspondence (e.g., reports, forms, presentation materials, messages, etc.) as required.
  • Provide coverage of other areas such as front end, point of service and registration.
  • Coordinate management functions and assist in special projects.
