The Administrative Assistant II provides a variety of administrative, and staff support services for departmental operations. Prepares, compiles, and maintains accurate patient and operational records. Independently plans, organizes, and completes daily work under supervision in a manner supportive of a team environment. Provides intake, authorization, and scheduling support for hospice. Completes all required documentation to ensure safe and timely admissions. Works in collaboration with the billing team to ensure accurate authorizations are obtained to ensure payment is received. Maintain accurate medical records and clerical documentation. Staff are expected to be patient centered in the daily work providing good customer service to the patients we serve. This position plays a critical role in supporting Augusta Health’s mission and advancing departmental goals through measurable performance indicators and service excellence. This position contributes to a collaborative, patient-centered environment and helps drive outcomes aligned with organizational priorities.

Requirements

  • Eligibility to work in the United States and meet Virginia state employment requirements

  • Experience with health care authorizations/billing preferred
  • Prior experience in a hospital, healthcare system, or related service-oriented environment
  • Familiarity with Augusta Health’s systems, workflows, or organizational culture is a plus
  • Requires a basic understanding of general office routines and procedures with the ability to file accurately.
  • Basic knowledge of Microsoft Word and Excel; proficient with computers to include keyboarding, basic navigation and use of email.
  • Ability to work with multi-line phone and computer systems accurately and efficiently.
  • Effective customer service and relationship building skills with patients, visitors and staff; ability to respect dignity of all patients and follow HIPAA rules without breaches in confidentiality.
  • Proficient listening, verbal and written communication skills.
  • Ability to prioritize and work on multiple projects and duties with deadlines.

Responsibilities

  • Maintain ongoing communication with referral sources
  • Utilization of referral management systems
  • Gather all relevant admission documents
  • Coordinate all referrals with leadership to ensure timely initiation of care
  • Accept and enter new referrals
  • Verify insurance eligibility
  • Obtain insurance authorization and ongoing re-authorizations
  • Call and screen patients
  • Maintaining the clinical schedule in hospice including coordinating PRN coverage as needed.
  • Ensures daily schedule meets productivity standards
  • Scheduling is to be done with consideration of patient needs based on urgency and geographical location
  • Coordinating and scheduling admissions (Nurse, SW, Spiritual Counselor)
  • Ensures all regulatory scheduling needs are met (aide/LPN supervision)
  • Answer phones
  • Monitor fax machine and manage incoming faxes/faxing to facilities/pharmacies as needed
  • Scan and attach referral and clinical data to patient EMR
  • Assist other Administrative Assistants within the department as requested
  • Performs all other duties as assigned
