We have an exciting opportunity for an Administrative Assistant in the West Austin, TX area! This role will provide administrative support to division staff.

Requirements

  • High school diploma or equivalent required
  • 0-1 year of relevant experience
  • Competent to use Microsoft Office suite: Word‚ PowerPoint and Excel.
  • The Administrative Assistant must be able to clearly share information with all parties following attendance at meetings so that resolution may be achieved in a timely manner.
  • Must be a self-starter with strong problem-solving skills and high level of attention to detail.
  • Strong customer service skills
  • Ability to work well under pressure
  • Ability to work on multiple projects simultaneously and adapt to changing priorities in a fast-paced environment

Nice To Haves

  • Knowledge of SAP software is desirable

Responsibilities

  • Performs administrative duties for specific departments as required.
  • Perform SAP functions and related accounting duties.
  • Review financial data as needed to support department projects.
  • Tracks expenses.
  • Records projects.
  • Compiles department budgetary data and prepares standard and special reports.
  • Coordinates the processing of all departmental invoices and submits to Accounts Payable.
  • Generates purchase orders by utilizing the SAP system.
  • Prepares monthly operational and compliance reports.
  • Back-up for operations support for field operations.
  • Organizes and maintains department files and records.
  • Acts as telephone operator/receptionist for incoming calls to department.
  • Answer phones, provides assistance and forwards messages.
  • Prepare various monthly operational reports using SAP and Excel using data from Aqua’s various systems/technologies
  • Provides miscellaneous clerical support, including mail delivery and the preparation of correspondence.
  • Performs other assignments as required.
