About The Position

The Illinois Department of Public Health is seeking a highly motivated individual to perform highly confidential, administrative staff functions requiring judgment relating to the preparation and handling of legal documents. Serves as liaison between Springfield and Chicago Legal personnel relative to exchange of information which is required to be retained by the Director’s Office and the division of Legal Services. Assists in conducting studies of administrative operations and recommends changes to improve efficiency of operations. Composes technical and legal correspondence for signature of General Counsel, other senior attorneys, and Director. Performs special research assignments.

Requirements

  • Requires knowledge, skill and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration.
  • Requires one (1) year of professional experience in a public or private organization, or completion of an agency approved professional management training program.

Nice To Haves

  • One (1) year of experience serving as a liaison with legal personnel of confidential information, legal data, or labor relations/personnel issues.
  • One (1) year of experience with oversight, preparation and handling of confidential legal documents.
  • One (1) year of experience conducting confidential legal research, preparing reports and presenting findings.
  • One (1) year of experience maintaining office files and resource documents.
  • One (1) year of working experience with Microsoft software products including Word, Excel, PowerPoint, SmartSheets, etc.

Responsibilities

  • Functions as confidential staff assistant to the General Counsel by serving as a liaison between Springfield and Chicago legal personnel for the maintenance and exchange of confidential information, legal data, statistical matters and labor relations/personnel issues.
  • Assists the supervisor with the oversight, preparation and handling of confidential legal documents by composing legal correspondence of a technical nature relative to health facilities regulated by the Illinois Department of Public Health.
  • Conducts confidential legal research, prepares confidential reports and presents confidential findings relative to legal issues within the Department.
  • Responsible for maintenance of office files and resource documents in an orderly manner to ensure the easy retrieval of information.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
