About The Position

The Department of Business and Professional Regulation (DBPR) is the agency charged with licensing and regulating State of Florida businesses and professionals, such as cosmetologists, veterinarians, condominiums, hotels, and restaurants. Our mission is to license efficiently and regulate fairly, and we strive to meet this goal in our day-to-day operations. This position is located within the Bureau of Compliance of the Division of Condominiums, Timeshares, and Mobile Homes. This is a highly professional position, located in the Director’s Office, which serves as an administrative assistant for the Discipline Coordinator and is responsible for incoming and outgoing mail of the Division in the daily operations.

Requirements

  • Knowledge of Microsoft Office software.
  • Ability to use available technology to perform duties, including computer software, hardware, and data systems.
  • Skills and ability to manage multiple assignments simultaneously.
  • Ability to establish and maintain effective working relationships.
  • Ability to work both independently and within a team environment.
  • Skilled with attention to detail and critical thinking.
  • Skilled with strong oral and written communication.
  • Skilled with customer service etiquette.
  • Knowledge of general office procedures and ability to effectively handle and track large quantities of mail.
  • Two (2) years of relevant experience in customer service and administrative functions.

Responsibilities

  • Opening the mail and date stamping it. Creates correspondence and labels for mail out materials, including all certified mail.
  • Responsible for OnBase scanning for all incoming documents.
  • Performs random reviews of Versa Regulation and OnBase to ensure filings and cases are appropriately coded and to identify inconsistencies.
  • Assists the Citation Specialist and Discipline Coordinator staff with the administrative tasks.
  • Compiling, coding, categorizing, calculating, tabulating, auditing, verifying, or processing information or data.
  • Greets visitors, accepts parcel deliveries, and answers a multi-line telephone system for the Director’s Office.
  • Provides consistent, timely, and precise updates and responses in either written or telephonic communication with direct supervisor, or Director, and other appropriate individual(s) pertinent to fulfill the purpose of the request or assignment.
  • Provide suggestions for improvement of the application, process, or procedures as deemed necessary.
  • Performs related work as assigned.
