About The Position

Performs a variety of clerical and secretarial work necessary for the smooth operation of the RSYCs, prepares correspondence, letters, memos and reports and maintains databases necessary for the office operations, prepares minutes for meetings, files and records information; answers telephone and provides incoming/outgoing information regarding the office operations and/or services; processing incoming/outgoing mail for an assigned area. Work with The Salvation Red Shield Youth Center Executive Director, Operations Manager, The Salvation Tulsa Area Command Officer and the RSYC Advisory Council. Requirements

  • High School Diploma or GED required with additional secretarial courses preferred.
  • Two years of college in the areas of business technology and/or administration AND two years experience in areas of secretarial and/or administrative setting OR any equivalent combination of education, training and experience, which provides the required knowledge, skills and abilities.
  • Valid State Driver's License
  • Ability to meet attendance requirements.
  • Limited amount of physical effort required associated with walking, standing, lifting and carrying light objects (less than 25 lbs.)
  • Duties are usually performed seated. Sitting may be relieved by brief or occasional period of standing or walking.

Responsibilities

  • Handles all incoming/outgoing correspondence for Executive Director and Operations Manager of RSYCs in Tulsa Area.
  • Answers telephone calls for the RSYCs Executive Officers.
  • Provide general secretarial work as needed for the administration of the RSYC Advisory Council.
  • Coordinates the monthly Advisory Council Meetings. This involves creating agendas, planning and contacting members by letter, mail and phone.
  • Organize meals for monthly council meetings as well as any other RSYC Administrative meetings when needed.
  • Prepare and keep track of purchase orders, check requests and requisitions for individual RSYCs.
  • Assist Executive Director and Operations Manager in the coordination and administration of monthly directors’ meetings, program director’s meetings and all other meetings taking place within the RSYCs Administrative offices.
  • Implementation of policies/programs within operating guidelines and procedures of the Salvation Army RSYCs.
  • Assisting the Executive Director, Operations Manager and the RSYCs Advisory Council in the budget planning, fundraising and administration of finances.
  • Interpreting the objectives and programs of the local organization and national movement to the RSYC Advisory Council, staff, club members, parents and the community.
  • Preparing formal reports to the Salvation Army, RSYCs, the Advisory Council and other affiliates groups and agencies.
  • Coordinates annual Youth of the Year fundraising event in conjunction with RSYCs Advisory Chairman and RSYC Executive Director.
  • Submit periodic statistical and progress reports of Salvation Army, Advisory Council and RSYCs.
  • Establishing and maintaining a friendly, cooperative relationship with public and private social agencies and other organizations in the communities.
  • Run any errands that are needed in the day-to-day operations of the RSYC Executive Director.
  • Requesting and purchasing of supplies and equipment to further the work of The Salvation Army RSYCs.
  • Preparing periodic statistical and progress reports to The Salvation Army, Advisory Council and RSYCs.
  • Assist in ensuring completion of required reports; prepare of any required interagency reports.
  • Assist the individual RSYCs as needed.
  • Operate a Salvation Army vehicle if necessary.
  • May be required to work with Christmas Kettle campaign.
  • Performs other related work as required.
