Position Purpose Under the supervision of the Assistant Principals and working closely with a colleague in the same position, performs administrative assistance to ensure the efficient operations of the high school’s Grade Level Office (GLO) - which is a hub of information for students, staff, and families - while creating a welcoming environment for all who interact with the GLO. This position requires flexibility, multitasking, and a willingness to make quick, insightful decisions while maintaining a high level of confidentiality.

Requirements

Nice To Haves

  • College-level coursework in business, word processing, and office procedures preferred.
  • Associates or Bachelor's degree preferred.
  • Successful experience with office management in a related area preferred.

Responsibilities

  • Duties include monitoring and tracking of student attendance, greeting parents/guardians and visitors, responding to inquiries and questions/requests from staff, students, and parents/guardians, answering office phones and forwarding messages, preparing reports as requested, documenting student discipline issues, assisting with distribution of materials as needed, filing, and other administrative functions.
  • Processes student discipline letters, including creating, filing, and sending of letters.
  • Generates reports of student data and assists with communication to students, families, and staff.
  • Maintains discipline, attendance, and grade spreadsheets.
  • Is an active participant with the attendance team, including creating and sharing reports and communicating with families, staff, and students.
  • Willing to explore and learn software systems to improve efficiency of GLO processes.
  • Performs administrative support work for school assistant principals. May include drafting correspondence, typing, editing, and other word processing functions.
  • Performs routine tasks such as filing, faxing, copying, and data entry.
  • Works with other departments to coordinate the distribution and collection of Advisory activities, etc.
  • Assists and coordinates with yearly school activities including: welcoming of new students, course selection process, MCAS testing, graduation, school “photo day”, including distribution of photos and IDs, distribution of planners, etc.
  • Responsible for the assignment of student lockers and handling of locker problems.
  • Responsible for class related activities and events that may include: establishing the graduation database, communicating to students and families information related to senior class tasks, such as ordering caps and gowns, submitting graduating name cards, and collecting students' outstanding obligations.
  • Support the Department of Digital Media and Technology with the distribution and collection of student devices.
  • Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the Grade Level Office.
