About The Position

UCF's College of Engineering and Computer Science (CECS) Academic Affairs Office (AAO) seeks applications for an Administrative Assistant I. This position plays an essential role in supporting the day‑to‑day operations of the office. This role ensures that the office runs efficiently and delivers exceptional service to the campus community. We welcome candidates who possess strong communication skills, attention to detail, and outstanding organizational and time‑management abilities to balance multiple priorities in a dynamic university environment.

Requirements

  • High School Diploma or Equivalent and 0+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6) .
  • Applicant must be authorized to work for any U.S. employer, as sponsorship is not available for this position now or in the future.
  • This position requires a valid Class E driver’s license.

Nice To Haves

  • 1+ year experience in customer service, hospitality, volunteer, or a general office setting.
  • Front desk, data entry, or office support experience.
  • Proficient with Microsoft Office, especially Outlook.
  • Strong customer service mindset with the ability to juggle multiple tasks at once.
  • Excellent oral, written, and interpersonal communication skills to communicate effectively with staff and guests.
  • Excellent organizational skills, detail-oriented, and takes initiative within the parameters of assigned duties.
  • Prior experience in a higher education setting.
  • Demonstrated ability to work independently and manage projects effectively.

Responsibilities

  • Maintains the Associate Dean's calendar, including (but not limited to) scheduling meetings and coordinating travel.
  • Coordinate office events, primarily the Order of the Engineer and Pledge of Computing Professional ceremonies.
  • Serve as the point of contact for several recurring college-level academic processes, including (but not limited to) faculty office hour postings, faculty textbook orders, course syllabi submissions, grade submissions, and Student Perception of Instruction survey results.
  • Ordering and reconciling purchases for the Academic Affairs Office and its programs/projects.
  • Assist with the access control process for CECS buildings, including processing key returns and refunds for CECS buildings.
  • Coordinate and perform college-level duties for faculty and student awards, including (but not limited to) scheduling committee meetings, preparing award letters, and maintaining records of award recipients.
  • Perform other duties as assigned by the Associate Dean or designee.
