The Administrative Assistant I provides clerical and administrative support to a department or program office. This role performs routine office functions, prepares standard correspondence and reports, maintains records and files, and supports data tracking and compliance reporting activities. The position operates under general supervision and supports day-to-day operational efficiency through organized and responsive administrative assistance. Requirements

  • One (1) to four (4) years of experience in administrative, clerical, or office support roles.
  • Proficiency in standard office software applications (e.g., Microsoft Word, Excel, Outlook).
  • Strong organizational skills and attention to detail.
  • Ability to manage routine administrative tasks under general supervision.
  • Effective written and verbal communication skills.
  • Ability to handle confidential or sensitive information appropriately.
  • High School Diploma or equivalent required.

Nice To Haves

  • Experience working in a structured, customer-service-oriented environment preferred.

Responsibilities

  • Prepare standard correspondence, reports, memoranda, and other documents using word processing software.
  • Maintain and organize electronic and paper filing systems.
  • Answer, screen, and route incoming calls and messages.
  • Receive, open, sort, and distribute incoming mail and correspondence.
  • Maintain calendars, schedule meetings, and coordinate appointments.
  • Respond to routine inquiries from internal and external stakeholders.
  • Utilize spreadsheet programs, email systems, and other office automation tools to support administrative functions.
  • Maintain databases and personal information systems as required.
  • Assist with required data tracking, compliance reporting, and documentation support.
  • Support meeting preparation, including materials assembly and logistical coordination.
  • Perform other semi-automated administrative support tasks as assigned.
