About The Position

Position Overview: The Flight Department Administrative Assistant plays a key role in supporting the daily operations, organization, and overall efficiency of the corporate flight department. This position provides administrative and logistical support to department leadership, flight crew members, and maintenance teams by managing workflows, coordinating communications, and maintaining accurate records. Primary responsibilities include invoice and expense processing, data entry, and general office administration, travel and scheduling coordination, regulatory and documentation support,. In addition, this role shares responsibility for flight scheduling activities to meet the corporation’s travel needs and to help ensure safe, secure, efficient, and reliable air transportation for Eaton executives, customers, and guests. The Administrative Assistant is expected to hold themselves—and their peers—accountable to the procedures and standards outlined in the Flight Operations Manual.

Requirements

  • High School Diploma from an accredited institution.
  • Minimum of 2 years experience as administrative assistant.
  • Relocation assistance is not available for this position. Only candidates currently located within a 50 mile radius of Richmond Heights, OH will be considered. Active Duty Military Service member candidates are exempt from the geographical area limitation.
  • Must be able to work in the United States without corporate sponsorship now and within the future.
  • Attention to detail, strong communications skills, flexibility, and ability to problem solve.
  • Microsoft applications (e.g. Outlook, Teams, Word, Excel, PowerPoint).
  • Operates in an ethical manner and maintains confidentiality.
  • Highly flexible and proactive in order to address changing priorities, meetings and tight deadlines.

Nice To Haves

  • Bachelors Degree in business, aviation etc.
  • Corporate aircraft scheduling/coordinator.
  • Experience with aviation scheduling software.

Responsibilities

  • Works to support a culture of safety and efficiency through adherence to established policies and procedures that advances customer service in the department.
  • Analyzes and prepares reports as directed, pays invoices, communicates with vendors, orders supplies, & schedules Eaton's corporate aircraft in compliance with guidelines set forth in the Flight Operations Manual.
  • Generates, maintains, and audits aircraft, crew, passenger, and flight data via various report templates.
  • Maintains proficiency on scheduling software, Excel, Word and other computer programs as required to accomplish specific functions.
  • Provides budgetary charge-back data to aircraft users as requested by management or aircraft users.
  • Provides tax and payroll departments with data for compliance with IRS regulations on personal use of corporate aircraft.
  • Must be able to work effectively with administrative assistants and executives at all levels of the enterprise.
  • Maintain a high level confidentiality regarding aircraft and passenger location and movement.
  • Maintain a high level of detail and accuracy while building, revising and deleting trips.
